What Workforce Compliance Software Does.

Workforce compliance software proves every Worker holds the licences, inductions, and training your rules require, on one ComplyFlow record shared across every Client.

  • You set the standard once, by Worker category. An electrical fitter needs a licence, a white card, and your induction; a general site Worker needs less. Each category carries its own list, and every site can add to it.
  • Workers and their employers upload the documents themselves. On a phone, in bulk, or on their behalf. A document approved for one Client can count for the next, so nobody uploads a white card five times.
  • Your approvers see a queue, not an inbox. Each document routes to the right staff member by risk category. They verify the dates, approve or reject with a comment, and the contractor hears straight away.
  • The status follows the Worker to the gate. Cleared, not cleared, or pending review, on the profile, at sign-in, and on a QR check from any phone.

How It Works

Four Screens That Carry the Module.

Real screens, not diagrams: the Worker, the approval, the check at the gate, and the rules behind all three.

One Profile per Worker, for Every Client They Work For.

A Worker registers once with one email. Their licences, tickets, and inductions sit on that profile, and each Client sees the requirements it set and the status against them. A document approved for one Client can count for the next.

Approvals That Route Themselves.

Each document lands with the staff member your approval categories name for that risk level. They download it, verify the dates the contractor entered, and approve or reject with a comment. Rejected goes back to the contractor with the reason; approved goes live on the profile.

  • Rejections carry the reason back to the uploader

Checked at the Gate, and From Any Phone.

The status follows the Worker. At a QR sign-in point the gate reads it; on the ground a supervisor scans the QR code on their access card and sees the same answer, with the categories, training, and documents behind it. Anything you have marked Hide from QR stays private.

Questions

Questions People Ask About Workforce Compliance Before a Demo.

How is this different from a prequalification network?

A prequalification network vets the company. Workforce compliance is about the person: whether the electrician arriving at your gate on Tuesday holds the licence, the induction, and the training your rules say she must. ComplyFlow does both on one record, and the company being approved and the Worker being cleared are two different things.

Who approves the documents, us or ComplyFlow?

Your choice, per document category. Local documents are approved by your staff, routed by approval category to the right approver. Global documents, such as a driver licence or a public liability certificate, are approved once by ComplyFlow’s approval team and accepted by every Client that chooses to accept them. A support agreement can add ComplyFlow’s help with local approvals too.

What happens when a licence expires mid-job?

The Worker and their employer are reminded before it lapses. On the day it expires the Worker is no longer cleared, the gate flags it at the next sign-in, and a QR check shows the red cross. Renew it, get it approved, and the status turns back.

Can one site have stricter requirements than the rest of the business?

Yes. Site requirements sit on top of the account’s. Assign a document or a training package to a site and every Worker assigned there turns to Documents Pending until it is met. Unassign it and the requirement lifts.

Can we see Worker compliance in Power BI or our own systems?

Yes. The REST API returns Worker lists and details, supplier compliance by ABN, document category lists, and training history, and accepts competency updates and document expiries. The same is available through MCP to ChatGPT, Claude, and Copilot.

Do our contractors pay for it?

One licence per Worker covers every Client the Worker is assigned to. How the cost is split between you and your suppliers is set per account: you cover it, they cover it, or a mix.
