Contractor Prequalification Software

Know a Contractor Is Safe to Engage. Before You Engage Them.

Invite a supplier by the kind of work they do. ComplyFlow asks them for what your rules require, reads what comes back, and routes it to the right approver.

What Contractor Prequalification Software Does.

Contractor prequalification software checks a company meets your standard before you engage it. ComplyFlow runs the form, documents, AI read, and approval on one record.

  • You decide what each kind of contractor must show you. A contractor category carries its form, its documents, and its inductions. Assign the category and the requests appear on the supplier’s dashboard.
  • The supplier fills it in once, on their own account. A prequalification runs 20 to 50 questions in sections. They save a draft, come back, attach the evidence, and submit.
  • AI reads the submission before your people do. Answers and attachments are checked against the criteria you set, and the supplier sees what is missing before it reaches an approver.
  • Each section goes to the person who should judge it. Insurances to procurement, the safety system to WHS, modern slavery to legal. Request more information, hold, approve, or cancel, with every step logged.

How It Works

Four Screens That Carry the Module.

Real screens, not diagrams: the panel, the form under review, the AI read, and the rules behind all three.

Your Whole Panel, Measured Against Your Standard.

Every supplier on one list with its categories, its status, the sites it works, and the next thing that expires. Filter by status or category, export the list, open a company and see exactly what it is short.

  • Cleared, not cleared, or pending review
  • Owner, attributes, and internal comments per supplier
  • Deactivate and every alert for that supplier stops

A Form That Goes to the Right Reviewer, Section by Section.

Procurement reads the insurances, WHS reads the safety system, legal reads modern slavery. Each section carries its own reviewer and status. Ask for more on one question and the supplier sees exactly what to fix.

  • Action required or feedback only, per question
  • Approve, hold, cancel, or request more information
  • Every change logged against the form

AI Reads the Submission Before You Do.

An AI agent sits on the questions you choose. It reads the answer or the attachment against your criteria and tells the supplier what is missing while they are still filling it in, so the review that reaches you is the second draft, not the first.

  • Per question, per form type, your criteria
  • Feedback to the supplier before submission
  • A person approves; the AI never does

The Rules Behind It, Written Down Once.

A contractor category names the form, the inductions, and the documents a supplier of that kind must hold, and which are optional. An approval category names who signs off at each risk level. Change either and every supplier it touches is re-measured.

  • Per category, per site, per risk level
  • Optional documents that inform without blocking
  • Descriptions the supplier sees at upload

How It Helps

Every Job in the Module: Digitised, Automated, Read by AI.

Three things make ComplyFlow different, and every job in prequalification draws on all three.

  • 01

The Whole Lifecycle, on One Record.

The company you prequalify is the company whose Workers sign in, whose permits you approve, and whose incident you investigate. One record, from the first form onwards.

  • 02

    Your Procedures, Digitised & Automated.

Your categories, your form, your approval routes. ComplyFlow asks, chases, and re-measures without you, and keeps the trail.

  • 03

    AI That Does the Reading.

Answers and attachments read against your criteria as they arrive, with the reasons shown. A person approves every one of them; the AI never does.

What you do Digitise Automate AI
Invite a supplier Category, site, email. They register with their ABN on their own account. The form and the document requests appear on their dashboard on their own. Ask your assistant which suppliers on a site are still unregistered.
Collect the prequal Sections, branching, drafts saved; evidence attached where the question asks. Reminders while it is open; the status turns when it is submitted. Each answer and attachment read against your criteria before submission.
Review it Each section on the right reviewer’s dashboard, with the files to download. Feedback goes back to the supplier; approval waits until every section clears. What is missing listed before you open the file.
Keep them approved Insurances and certificates with their dates on the supplier’s record. Reminders before expiry; not cleared the day one lapses. Ask which suppliers have an insurance expiring this quarter.
Report on it The panel filtered by status, category, site, and attribute, exported to CSV. Supplier compliance into Power BI or your procurement system through the API. Ask in plain English through ChatGPT, Claude, or Copilot.

How It Stacks Up

Where Prequalification Usually Lives, and What Each Misses.

Most businesses prequalify through a network, a procurement system, or a folder of emailed PDFs. Each covers part of it.

Questions

Questions People Ask About Prequalification Before a Demo.

How is this different from a prequalification network like the ones suppliers pay to join?

A network vets a company against its own standard and sells the listing. ComplyFlow prequalifies against yours: your form, your document list, your approvers, per category of contractor. And the company you prequalify is the same record whose Workers sign in at your gate, so approval means something on site, not only in procurement.

Do suppliers have to pay?

One licence per Worker covers every Client the Worker is assigned to. How the cost is split between you and your suppliers is set per account: you cover it, they cover it, or a mix.

Can different people approve different parts of the form?

Yes. Each section has its own reviewer. Procurement can approve the insurances while WHS is still asking for the safety system’s external audit, and the form reads Under Review until every section clears.

What does the AI actually check?

The questions you put an AI agent on. It reads the supplier’s answer or the file they attach against the criteria you set for that question and gives them feedback while the form is open. Your reviewers still approve every section; the AI never does.

What happens when an insurance expires after approval?

The supplier is reminded before it lapses. On the day it expires the company is no longer cleared, their Workers are flagged at the gate, and the document request reappears on their dashboard. Renew it, get it approved, and the status turns back.

Can we see supplier compliance in our procurement or maintenance system?

Yes. The REST API returns the supplier list, supplier details, and compliance by ABN, and work orders from your maintenance system are matched to suppliers by ABN and site code. The same data is available through MCP to ChatGPT, Claude, and Copilot.
