Contractor Management Software for Safety, OHS & WHS Managers

You Have to Prove It Was Checked. Not That You Meant To.

Every check on one record, with a name and a time against it. Somebody asks how you knew, and you show them.

  • HSE Manager
  • Safety Advisor

  • Head of HSEQ
  • Risk & Safety Lead

ComplyFlow for Safety, OHS & WHS Managers.

Contractor compliance software for the person who carries the can. Every check lands on one record as it happens, so the evidence exists before anybody comes looking for it.

  • The checking happens whether you are at your desk or not. ComplyFlow chases the insurance, the licence, and the induction, and stops anyone who is short at the gate.
  • You can answer how you knew, in a minute. Every check carries a name and a time, and the whole record is searchable by site, company, or Worker.
  • Your officers get evidence instead of assurance. The board asks what you verified. You hand them the record, not a slide saying the system is working.
  • You stop being the bottleneck on method statements. AI reads each one against your standard in seconds and lists what is missing. You still make the call.

ComplyFlow Is Already Trusted by Your Peers.

Safety teams in heavy industry, transport, property, and government already run their checks on one record.

Your Week

The Six Moments That Land on a Safety Manager’s Desk.

Every one of these is a phone call because a check cannot be found. Each shown twice: now, and on one record.

  1. Monday, 7:02am

A crew is at the gate. Can they start?

    Today

You open a spreadsheet, then your email, then ring the contractor. The crew waits.

    With ComplyFlow

They scan the QR code. Cleared, or stopped there. You hear nothing.

  2. Tuesday

A method statement lands for Thursday’s high-risk work.

    Today

20 pages, against a standard only you carry in your head. It sits there until Wednesday night.

    With ComplyFlow

AI reads it and lists what is missing. You review the gaps and make the call.

  3. Wednesday

Something happens. Was that Worker inducted?

    Today

You go looking. A paper sign-in sheet, and a licence somebody texted you last year.

    With ComplyFlow

Open the Worker. Induction, licence, sign-in time, already there.

  4. Thursday

The chief executive wants contractor safety for the board.

    Today

A week pulling numbers out of four places, stale by the meeting.

    With ComplyFlow

Live compliance by site and contractor, straight into Power BI.

  5. Friday

A contractor’s public liability expired three weeks ago.

    Today

Nobody notices until somebody asks for the certificate.

    With ComplyFlow

Chased before it lapsed. Stopped at the gate on the day.

  6. Any day, no warning

An auditor books in, or an inspector walks on.

    Today

A fortnight of folders, and a quiet hope nothing is missing.

    With ComplyFlow

Filter and export. Every check, with a name and a time against it.

The durations here describe the job as we have seen it done, not a measured saving in your business. What actually changes is who does the checking, and whether the answer exists before somebody asks for it.

What You Use Every Week

The Four Things a Safety Manager Opens Most.

Not a feature list. The four screens that carry the jobs you cannot afford to let slip.

Your Standard, Applied by the System Instead of by You.

Set your requirements once: public liability, Workers compensation, trade licences, high-risk tickets, your induction. Every contractor and every Worker is measured against the same list, and the dashboard shows who is short before anybody books them for work.

  • One requirement set, applied across every site
  • Site-specific extras where a site needs more
  • Who is short, and how short, at a glance

AI Reads the Method Statement Before You Do.

Upload a safe work method statement and AI reads it against the criteria you set, section by section. It comes back with a grade, what it found, and what is missing. You review the gaps and make the call, which is the part of the job that actually needs you.

  • Section-by-section grades against your own criteria
  • The reasons shown, so you can disagree with it
  • A person approves; the AI never does

The Gate Decides, at Every Site, Every Time.

A QR code or a tablet where people arrive. The Worker scans in, the record checks their induction, licence, and insurance, and anyone who is short is flagged on the spot. You get a live list of who is on which site, which is also your roll call if a site has to be cleared.

  • Works after hours and at unmanned sites
  • Visitors and contractors on the same sign-in
  • A live list, exportable, with times against every name

Risks, Incidents & Corrective Actions on One Record.

The risk register, the incident report, and the corrective action are the same record, tied to the site and the Worker. When something happens you are not reconstructing who was there and what was in place. You are reading it.

  • Risks rated, owned, and reviewed on a schedule
  • Incidents raised in the field, on a phone
  • Every action owned, dated, and chased to close-out

How It Helps

Digitised. Automated. AI-Reviewed. Every Job on Your List.

Three things make ComplyFlow different, and every job a safety manager does draws on all three.

  • 01

The Whole Lifecycle, on One Record.

First company check to incident close-out: contractor, Worker, site, and permit on one record. Nothing falls between systems for you to find later.

  • 02

    Your Procedures, Digitised & Automated.

The sign-in book, the permit pad, and the induction spreadsheet become one system that chases, checks, and closes out without you.

  • 03

    AI That Does the Reading.

Certificates, method statements, and inspections read against your standard in seconds, with the reasons shown. You make the decision.

What you do Digitise Automate AI
Approve a new contractor They register once and upload their own insurances, licences, and safety documents. Approval routes to you; expiry reminders and re-approvals go out on their own. Each document read against your requirements, with the gaps listed before it reaches you.
Induct their Workers Your induction runs on the Worker’s own phone, before they arrive on site. An expired induction or licence blocks sign-in until it is renewed. Tickets and licences read and checked as they are uploaded.
Review a method statement The SWMS is attached to the job, not buried in an inbox. It cannot be approved while a required section is missing. Read against your standard in seconds, section by section, with a grade and the reasons.
Issue a high-risk permit Hot works, heights, confined space, and isolation permits raised on a phone. Routed to your authoriser and closed with a time-stamped record. The method statement behind the permit checked before you approve it.
Decide who works today A QR code or tablet replaces the sign-in book at every gate. Not cleared, not in. The live list updates itself. Ask your AI assistant who is on site right now, through MCP.
Run an audit or inspection Your checklist on a phone, with photos, offline if the site has no signal. Every failed item becomes a corrective action with an owner and a due date. The photos and the failed items are on the record the moment the inspection syncs.
Investigate an incident The report is raised in the field and lands against the site and the Worker. Actions assigned, chased, and closed, with the trail kept. Ask in plain English what that Worker was inducted in and when, through ChatGPT, Claude, or Copilot.
Report to your officers One searchable record instead of four systems and a folder. Live completion rates and scheduled reports straight into Power BI. Ask in plain English through ChatGPT, Claude, or Copilot; the answer comes from the record.

The Numbers You Run On

The KPIs a Safety Manager Reports, and Where Each One Comes From.

What the board, the auditor, or the regulator asks you for, and the record it is read from.

Reads from names the ComplyFlow record each measure is read from. The targets are yours.

  1. TRIFR

Total Recordable Injury Frequency Rate, the rate the board compares month to month

Reads fromIncident and injury data, through the API

  2. Corrective action close-out

The share of failed inspection items closed by their due date

Reads fromEvery failed item, owned and dated

  3. Induction before first shift

Whether every Worker who signed in had completed the induction first

Reads fromSign-in checked against the induction record

  4. Permit close-out time

How long heights, hot work, and confined space permits stay open past their finish

Reads fromPermit raised, approved, and closed, with times

  5. Uncleared sign-in attempts

How often someone turned up who should not have, and at which gate

Reads fromEvery refusal at the gate, with the reason

  6. Contractor panel currency

The share of contractors whose insurances, licences, and inductions are in date today

Reads fromThe prequalification record, live, by site

The Officer Duty

What You Hand an Officer When They Ask What You Verified.

Your directors carry a duty they cannot delegate. You produce the evidence they rely on.

To verify the provision and use of the resources and processes referred to in paragraphs (c) to (e).
Work Health and Safety Act 2011, section 27(5)(f). Corroborated against Safe Work Australia and Comcare guidance, 9 September 2026.

The word is verify, not intend. In Queensland’s first industrial manslaughter sentence, the company had made no enquiries about the forklift driver’s licence.

R v Brisbane Auto Recycling Pty Ltd [2020] QDC 113.

What you can put in front of them

  • The company checkWhen each contractor was approved, against which requirements, and who approved them.
  • The induction recordWho completed which induction, on what date, and what they scored.
  • The licence and ticket checkWhich licences were sighted, when each was verified, and when each one expires.
  • The sign-in logWho was on which site, at what time, and what the gate checked before it let them in.
  • The permit trailWho asked for the high-risk work, who authorised it, and what the method statement said.
  • The close-out recordEvery failed inspection item, its owner, its due date, and the day it was closed.

Nothing here is legal advice, and no software discharges a duty. What ComplyFlow changes is whether the evidence exists, and whether you can find it on the day you are asked.

Why ComplyFlow

Why Safety Managers Choose ComplyFlow, Not Another Point Solution.

Most safety teams run a prequalification network, a sign-in app, a permit pad, and a spreadsheet. Each does one job. The gaps between them are the parts you get asked about.

Questions

Questions Safety Managers Ask Before They Book a Demo.

Does this replace me, or the judgement part of my job?

No, and it is not built to. AI does the reading: it checks a certificate, a licence, or a method statement against the criteria you set and tells you what is missing and why. A person approves every one of them, and that person is you or someone you nominate. What it removes is the chasing, the transcribing, and the 20 pages you have to read to find the two gaps.

How does it help with the officer due diligence duty?

Section 27 of the WHS Act asks officers to verify that the processes for minimising risk are being used and are effective. ComplyFlow keeps the evidence that supports that: when each contractor was approved and against what, who was inducted and when, which licences were sighted and verified, who signed in where, who authorised each permit, and whether each corrective action closed. It is not legal advice and it does not discharge the duty; it is what the person holding the duty relies on.

What happens if a licence or an insurance expires while somebody is mid-job?

ComplyFlow reminds the contractor before it lapses and chases them if they ignore it. On the day it expires, that Worker or company is no longer cleared and the gate flags it at sign-in. You see it on the dashboard, and so does the person running the site, before anyone starts work.

We already have an induction system. Do we have to move it?

ComplyFlow runs your inductions itself, including your own courses and assessments, and that is what the gate checks at sign-in. Whether the completion records from the system you have today can come across, or whether the two can talk to each other, depends on what that system exposes; bring it to the demo and we will tell you straight rather than guess. What matters either way is that whatever decides who is inducted is the same thing that decides who gets through the gate.

Will my contractors actually use it?

They register once and that profile works for every ComplyFlow Client they work for, with no fee per Client. Our onboarding team invites them, walks them through it, and takes their calls, which is the part that usually falls to you. AI reads their documents while they are still in the form and tells them what is missing, so fewer submissions come back.

Can it work at a site with no signal?

Yes. Inspections and reports work offline on a phone and sync when the device gets signal again, with the time of the original entry kept.

Is our data held in Australia?

Yes. ComplyFlow runs on AWS in Australia and is ISO 27001 certified. Your people log in with Microsoft or Okta single sign-on, so there are no new passwords for your team to manage.
