Digital Permit to Work Software

No Permit, No Access. Every Permit on the Record.

Hot works, heights, confined space, isolation. Raised on a phone, the SWMS read by AI, each section to its approver, and the crew signing in to the permit itself.

The SWMS is read before the permit is approved

What Digital Permit to Work Software Does.

Permit to work software controls who does high-risk work and who approves it. ComplyFlow raises the permit on a phone, AI-reads the SWMS, and the crew signs in to the permit.

  • The permit is raised where the work is. A supervisor or a contractor starts it in the Live Access app or on the desktop: type, site, location, disciplines, start and expiry, holder, and the SWMS attached.
  • Every section goes to the person who should judge it. Isolations to the area supervisor, the SWMS to safety, authorisation to the permit approver. Request more information on one question, hold, approve, or cancel.
  • AI reads the SWMS before anyone signs it. An AI agent on the permit form reads the method statement against your criteria and lists what is missing. A person approves; the AI never does.
  • The crew signs in to the permit, not just the site. An active permit appears on the contractor’s Live Access dashboard; they sign in to it, and the area supervisor can see who is working under which permit.

What It Covers

The Whole Module, Not the Highlights.

How It Works

Four Screens That Carry the Module.

Real screens, not diagrams: the permit as it is raised, the SWMS as AI reads it, the approval in the app, and the crew signed in under it.

The Permit, Raised Where the Work Is.

Type, site, and location. Start and expiry with the hour. Holder, applicant, and the disciplines it covers. A related isolation permit linked. Each section with its reviewer and its status, so everyone can see what is waiting on whom.

  • Your permit types and disciplines
  • Related permits linked
  • Draft saved, submitted, reviewer emailed

The SWMS, Read Before Anyone Signs.

An AI agent sits on the method statement question. It reads the attachment against the criteria you set, section by section, and lists what is missing while the permit is still a draft. The facilities manager who is not a safety specialist sees the gaps; the approver still decides.

  • Section-by-section grades against your criteria
  • The reasons shown, so you can disagree
  • A person approves; the AI never does

Approved From the Ute, Not the Office.

The area supervisor opens Permits Awaiting Approval in the Live Access app, filters to For Review, opens the files, and approves or rejects with a comment. The applicant is notified. The permit goes active and appears on the contractor’s dashboard.

  • Permits Awaiting Approval in the app
  • View the files, approve or reject with a comment
  • Applicant notified on the spot

The Crew Signs In to the Permit Itself.

An active permit is on the contractor’s Live Access dashboard. The crew signs in to it, so the live list shows not only who is on site but who is working under which permit, and the area supervisor can check sign-ins and sign-outs against it.

  • Active permits on the contractor’s dashboard
  • Sign in to the permit, not only the site
  • Sign-ins and sign-outs checked against the permit

How It Helps

Every Job in the Module: Digitised, Automated, Read by AI.

Three things make ComplyFlow different, and every job in permit to work draws on all three.

  • 01

The Whole Lifecycle, on One Record.

The contractor who holds the permit is the company you prequalified, the Worker who signs in to it is the one whose licence you approved, and the incident, if there is one, lands on the same record.

  • 02

    Your Procedures, Digitised & Automated.

Your permit types, your questions, your reviewers by role. The permit cannot be approved with a section missing, and it expires at the hour you set.

  • 03

    AI That Does the Reading.

The SWMS read against your criteria before the permit is approved, with the gaps listed and the reasons shown. A person approves every one; the AI never does.

What you do Digitise Automate AI
Raise the permit Type, site, location, disciplines, start and expiry, holder, attachments, on a phone. The reviewer is emailed; the draft waits on the dashboard. Ask your assistant which permits are due to start before 7am tomorrow.
Review the method statement The SWMS attached to the permit, not buried in an inbox. It cannot be approved while a required section is missing. Read against your standard in seconds, section by section, with a grade.
Approve it Each section on its reviewer’s dashboard or in the Live Access app. Feedback goes back to the applicant; approval waits until every section clears. What is missing listed before you open the file.
Do the work The active permit on the crew’s Live Access dashboard; they sign in to it. The live list shows who is under which permit; the permit expires at the hour. Ask who is working under a hot works permit right now.
Prove it afterwards The permit with its answers, attachments, approvals, and sign-ins. Export the form; permits by type through the API. Ask in plain English through ChatGPT, Claude, or Copilot.

How It Stacks Up

Where Permits Usually Live, and What Each Misses.

Most sites run permits on a carbon-copy pad, a PDF form, or a permit module inside a safety suite. Each covers part of it.

Questions

Questions People Ask About Digital Permits Before a Demo.

Who can raise a permit?

A supervisor or a staff member in the Live Access app or on the desktop, or the contractor themselves in Live Access. The permit then goes to the reviewers your permit type names; nothing is active until they approve it.

Can different people approve different parts?

Yes. Each section has its own reviewer, set by role, by team, or as a named permit holder. The area supervisor can approve the isolations while safety is still reviewing the SWMS, and the permit stays under review until every section clears.

What does the AI do with the SWMS?

An AI agent on the permit form reads the method statement against the criteria you set for that permit type and lists what is missing, section by section, while the permit is still a draft. A person approves every permit; the AI never does.

How does the permit connect to sign-in?

Once a permit is active it appears on the contractor’s Live Access dashboard and the crew signs in to it. The live list then shows who is working under which permit, and the area supervisor can check sign-ins and sign-outs against it.

What happens when a permit expires?

A permit runs from a start to an expiry, both with the hour. After the expiry it reads as expired and the crew cannot sign in to it. Raise a new one or extend it through your review process.

Can we get permit data into our own systems?

Yes. Form data by form type is available through the REST API, a completed permit can be exported, and through MCP an assistant such as ChatGPT, Claude, or Copilot can be asked which permits are active on a site today.
