Contractor Management Software for Property & Facilities Management

Hundreds of Trades. Hundreds of Buildings. One Standard.

Every trade on every building, checked before they start. Proof for the owner or the regulator the day they ask.

  • Office towers
  • Shopping centres
  • Industrial & logistics estates
  • Retirement living
  • Mixed-use precincts
  • Education & government campuses

ComplyFlow for Property & Facilities Management.

Contractor compliance software for property and facilities managers. One record for every building you run, from the first check on a trade to the inspection close-out.

  • One standard across every building you manage. Not one spreadsheet per site, and no argument about which version is current.
  • Your building managers stop chasing paperwork. ComplyFlow chases the insurance, the licence, and the induction instead, and it never forgets.
  • Audit-ready on any day of the year. The owner, the tenant, or the regulator asks, and you answer in minutes rather than a fortnight.
  • Nobody unqualified gets past the dock. After hours, at unmanned sites, and for your tenants’ trades as well as your own.

ComplyFlow Is Already Trusted by Your Peers.

The Numbers

What Goes Wrong When Property & Facilities Compliance Lives in Spreadsheets.

Public figures from the regulators about the trades your buildings depend on, with the year each one applies to. What they mean for a property portfolio is underneath each.

How It Helps

Digitised. Automated. AI-Reviewed. The Whole Contractor Lifecycle, for Property & Facilities Teams.

Three things make ComplyFlow different for facilities managers, and every job on a building draws on all three.

  • 01

The Whole Lifecycle, on One Record.

First company check to annual review: every building, trade, and Worker on one record. Nothing falls between systems.

  • 02

    Your Procedures, Digitised & Automated.

Sign-in book, permit pad, and site folders become one system that chases, checks, and closes out on its own.

  • 03

    AI That Does the Reading.

Certificates, SWMS, and inspections read against your standard in seconds, reasons shown. Your people make the call.

What you do Digitise Automate AI
Prequalify a trade Contractor registers once; insurances, licences, and safety documents uploaded online. Expiry reminders and re-approvals go out on their own. Certificates and safety documents read against your requirements; gaps shown.
Induct their Workers Site induction on the Worker’s phone, before they arrive. Expired induction or licence blocks sign-in until renewed. Licences and tickets checked as they are uploaded.
Sign in at the dock QR code or tablet replaces the sign-in book and visitor register. Record checked at the gate: not cleared, not in. Live list updates itself. Ask your AI assistant who is on site right now, via MCP.
Permit high-risk work Hot works, heights, and confined-space permits on a phone. Routed to your authoriser; closes with a time-stamped record. The SWMS behind the permit read against your standard before approval.
Keep site documents current Evacuation plans, asbestos register, and lift certificates, one place per building. Visibility rules decide who sees what; expiries flagged. Documents reviewed against criteria you set; AI suggests the criteria.
Inspect and close out Fire door, plant-room, and cleaning audits on a phone, with photos. Every failed item becomes an owned, dated action. The photos and the failed items are on the record the moment the inspection syncs.
Report to the owner One searchable record per building, not a folder per site. Live completion rates and scheduled reports into Power BI. Ask in plain English through ChatGPT, Claude, or Copilot; the answer comes from the record.

Features You’ll Love

The Features Property & Facilities Teams Use Every Week.

Four jobs a facilities team does every week across the portfolio, and what changes when they all run off one record.

One Standard Across Every Building.

Set your requirements once: public liability, trade licences, SWMS for high-risk work, your induction. Every contractor on every site is measured against the same list, and the dashboard shows who is short before they are booked.

  • Portfolio-wide requirement sets
  • Per-building extras where a site needs them
  • Contractors upload once, for every building you manage

Sign-In at the Dock Decides Who Works Today.

A QR code at the loading dock or a tablet at the concierge desk. The trade scans in, the record checks their induction, licence, and insurance, and the building manager sees who is in the building right now. Not cleared, not in.

  • Works after hours and at unmanned sites
  • Visitors and tenants’ contractors on the same sign-in
  • A live list for evacuations and roll calls
A tradesman in hi-vis scanning the QR sign-in notice on the wall of a loading dock, his ute backed up behind him

Inspections That Close Out, Not Pile Up.

Fire door checks, plant-room audits, cleaning audits, essential safety measures: done on a phone, and every failed item becomes an action with an owner and a date. Senior management sees the close-out rate across the portfolio without chasing a spreadsheet at each site.

CBRE moved its portfolio audits off per-site spreadsheets and onto ComplyFlow in 2011, with every corrective action tracked to close-out and completion rates live for management.

Permits for the Work That Hurts People.

Hot works on the roof, confined space in the pump room, working at heights on the facade. The permit is raised on a phone, the SWMS behind it is read against your standard, your authoriser approves it, and it closes with a record of who signed what and when.

  • Hot works, heights, confined space, electrical isolation
  • SWMS read against your rules before approval
  • Every permit kept, searchable, for the audit

The Numbers You Run On

The KPIs a Facilities Team Reports, and Where Each One Comes From.

The measures an owner, a tenant, or an auditor asks for.

Reads from names the ComplyFlow record each measure is read from. The targets are yours.

  4. Corrective action close-out rate

The share of failed inspection items closed by their due date, portfolio-wide

Reads fromEvery failed item becomes an owned, dated action

  5. Uncleared sign-in attempts

How often a trade turned up who should not have, and at which dock

Reads fromEvery refusal at the gate, with reason

  6. Essential safety measures currency

Whether fire, lift, and evacuation documentation is in date

Reads fromSite documents with expiries flagged, per building

Why ComplyFlow

Why Property & Facilities Teams Choose ComplyFlow, Not Another Point Solution.

Most property portfolios run a prequalification network, a sign-in app, a permit pad, and a spreadsheet. Each does one job. The gaps between them are where compliance fails.

Questions

Questions Property & Facilities Teams Ask Before They Book a Demo.

Do our tenants’ contractors have to use it too?

Yes, if you want them to. A tenant’s fit-out or maintenance crew signs in through the same QR code or tablet, against the requirements you set for the building. You see them on the same live list as your own panel, and their inductions and insurances are checked the same way.

Can a trade sign in after hours at an unmanned building?

Yes. The QR code at the dock or the door works around the clock on the trade’s own phone. The record checks their induction, licence, and insurance on the spot and the building manager sees the sign-in from wherever they are.

We manage buildings for several owners with different standards. Does that work?

Yes. Requirements sit at the portfolio level with extras per building or per owner. A trade uploads their documents once and each building measures them against its own list, so the plant room in one tower can ask for more than the lobby in another.

Does it replace our work-order or maintenance system?

No. Your CMMS or property system still raises the job. ComplyFlow checks that the trade turning up to do it is inducted, insured, and cleared, and it connects to those systems through an open API so the two agree.

How do contractors get their insurances and licences in?

They register once, add their Workers, and upload their own documents from a phone or a laptop. AI reads each document against your requirements and tells them what is missing while they are still in the form. ComplyFlow reminds them before anything expires.

What about essential safety measures and fire safety inspections?

Inspections run on a phone against your checklist, with photos, and every failed item becomes a corrective action with an owner and a due date. The completion rate across the portfolio is live, so the annual reporting cycle is a report, not a hunt through site folders.

Is our data held in Australia?

Yes. ComplyFlow runs on AWS in Australia and is ISO 27001 certified. Your people log in with Microsoft or Okta single sign-on, so there are no new passwords to manage.
